How to keep your Shopify stockist map up to date
Stale pins send shoppers to stores that no longer carry you. Use reorders, expiration windows, and retailer confirmation to keep your stockist map accurate.

The short answer
Keep a stockist map current by tying each pin to real reorder activity, not to a list someone remembers to edit. Update a location every time the retailer reorders, expire it after a set window without orders, and ask new retailers to confirm their public address. Then review the map on a fixed schedule.
Why do stockist maps go stale?
- Retailers stop carrying you and nobody tells you, so the pin stays.
- Stores move or close, and the old address lingers.
- New accounts never get added because the person who maintains the page is busy shipping orders.
- Duplicate pins appear when the same store orders through two channels.
Each of these sends a shopper to a shelf that does not have your product. That is a worse outcome than having no pin at all.
What signal should decide if a pin stays?
The most honest signal is the last order date. In SyncaMap, a repeat order to an existing address updates that location’s last order date rather than creating a second pin, and duplicate addresses are detected and merged.
How long should a pin live without a reorder?
| Plan | Expiration setting |
|---|---|
| Free | Fixed at 90 days |
| Starter, Growth, Wholesale Pro | Choose 30 to 365 days, or turn expiration off |
Match the window to your sales velocity. Faster-moving goods like coffee or fresh drinks often suit 2 to 4 months, so a store that stops reordering drops off within a season. Slow-turning goods like candles or homewares may need 180 days or more. If a typical retailer reorders every 45 days, a 90-day window gives one missed cycle of grace.

How do retailers help keep listings accurate?
Turn on customer confirmation per sync rule. New retailers get an email to confirm or correct their public listing. You can also require merchant approval, so new pins wait in a queue until you review them. Bypassing confirmation is only appropriate when you already have the retailer’s consent to be listed.
A 15-minute monthly review checklist
- Clear the approval queue and fix any flagged addresses.
- Scan for pins in unexpected places, such as warehouses or homes.
- Check that new wholesale channels are covered by a sync rule.
- Confirm Product Rules still match your current catalog; use Re-resolve all after changes.
- Open the live Find Us page on a phone and search your own city.
Troubleshooting stale or missing pins
| Symptom | Likely cause | Fix |
|---|---|---|
| Closed store still shows | Expiration off or window too long | Shorten the window or hide the location |
| New retailer missing | Order does not match any sync rule | Check the order’s tags and sales channel |
| Two pins for one store | Slightly different address text | Merge the locations and correct the address |
| Pin at a warehouse | Order shipped to a distribution address | Edit to the storefront address, see the next guide |
